World Leaders College International processes personal data in connection with the processing of nominations, applications to join the Global Network and proposals for cooperation. This page explains what data is collected, why, for how long, and what rights you have.
1. What the website collects
When simply browsing
No account is required to browse the website, and no cookies are placed on the browser of a visitor who is simply reading the content. The website does not use audience measurement tools, advertising trackers or social media buttons.
Fonts are served by the website itself: displaying them does not connect the visitor to any third-party service.
A cookie is set in only one instance: when a visitor saves a form draft to return to it later. It allows this draft to be linked to their browser, and nothing else. It is a cookie strictly necessary for the requested service.
When completing a procedure
The three forms on the website collect the information necessary to process the application:
- About the person making the enquiry — organisation, contact details, identity and role of the representative
- About the proposed nominee — identity, nationality, role, career history, achievements
- About the persons cited as references — identity, role, contact details
- Attachments — CV, institutional documents, letters of support, articles
- Integrity-related information — declared conflicts of interest and contextual information brought to the College’s attention
The IP addresses of those submitting an application are not recorded. They add nothing to an application in which the applicant states their name, location and signature.
For College accounts
Individuals with an account (administration, Committee, editing, translation) have their username, email address and actions on files recorded.
2. Data concerning third parties
By its very nature, a nomination concerns a person who has not completed the form — and cites references who have not completed it either. The form asks the submitter to indicate whether the nominee has been informed of the process.
The individuals concerned have the same rights as any other person, as described in point 6. The College does not take any public action regarding a proposed individual until the investigation has established the admissibility of the application.
3. Why this data is processed
| Processing | Purpose |
|---|---|
| Nomination files | To assess the merits presented and examine the proposal |
| Applications for affiliation to the Network | Verify the accreditation cited and assess the application for affiliation |
| Proposals for cooperation | Examine the proposal and, where appropriate, establish the partnership |
| Publication of the winners | Compile and publish the institutional record of honours |
| Access records | Enable the processing and publication of data, and maintain a record of such activities |
These processing activities are based on the College’s legitimate interest in carrying out its mandate of institutional recognition, and on the voluntary action of the individual or institution submitting the application.
4. Who has access to this data
Access is allocated by role, and this allocation is implemented technically:
- Committee members have access to the files received. They do not have access to the website’s content.
- Editors have access to published content. They do not have access to the files.
- The administration manages accounts and configuration.
Attachments are stored in a non-public area: they cannot be accessed via a guessed URL, and every access attempt is subject to a rights check.
Acknowledgements of receipt sent to the College do not reproduce the contents of the files and do not include any attachments: they simply confirm the arrival of a file and direct the recipient to the website.
Every time a file is viewed or amended, this is recorded in a log, which specifies the person who carried out the action and the date.
No data is sold, leased or passed on for commercial purposes.
5. How long they are retained
TO BE COMPLETED by the College — the following timeframes are proposed and must be finalised by the institution:
- Rejected applications — proposal: three years from the date of the decision, a period allowing for the processing of a new application concerning the same individual, taking into account the material already examined
- Applications resulting in an honour — long-term retention: these constitute supporting documents for an institutional act and fall within the remit of the College’s Archives and Institutional Memory
- Draft forms not submitted — proposal: automatic deletion after six months
- Access accounts — for the duration of the post held, then blocked
6. Your rights
Any person whose data appears on this website may request:
- access to information concerning them;
- the rectification of any inaccurate information;
- the erasure of their data, subject to the College’s retention obligations;
- restriction of processing or objection to processing, on grounds relating to their particular situation.
Requests should be made to the College via the contact form or at the address given in the legal notice. A response will be provided within one month.
The erasure of a file on which an award was based cannot be granted without calling the award itself into question: the traceability of awards guarantees the integrity of every recognition recorded in the College’s history. Any such request is examined on a case-by-case basis.
TO BE COMPLETED — identity and contact details of the data controller and, where applicable, the data protection officer; the competent supervisory authority to which a complaint may be lodged.
7. Security
- Attachments are stored outside the web-accessible area.
- Accepted file types are limited to documents and images; formats that may contain executable code are rejected.
- Access rights are assigned by role and verified on every page.
- Actions on folders are logged.
- Open registration is disabled: accounts are created by the administration.
8. Amendments to this policy
This policy may be amended to reflect changes to the website or to regulations. The date of the last update is shown below.
